Privacy Policy
At a glance
The Network Forum uses your information to operate our events, website and mobile app, including providing event access and attendee information. The app does not use advertising or analytics SDKs and does not request access to your location, contacts, camera or microphone. It can use your device’s biometric authentication only to unlock content already saved on that device; The Network Forum does not receive biometric information.

2. Information we collect
The information we collect depends on how you interact with us. It may include:
- Identity and professional information: your name, title, employer, profession, gender, photograph and other profile information you or your organisation provide to us.
- Contact information: your business email address, telephone number and postal address where provided.
- Event and membership information: event registrations, attendance, access permissions, session selections, dietary or accessibility requirements where supplied, and information required to manage your participation.
- Account and App access information: your username or email address, authentication/session tokens, event-access permissions and device/app details necessary to provide, secure and support the App. We do not store your App password on your device.
- Technical information: IP address, browser or device type, operating system, app version, referral URLs and information about how you use our website or App. This may be recorded automatically in server and security logs.
- Correspondence: information you give us when you contact us, respond to a survey or request support.
3. How we use your information
We use personal data only where we have a lawful basis to do so, including where necessary to perform a contract with you or your organisation, for our legitimate interests in operating and improving our services, to meet a legal obligation, or with your consent where required.
In particular, we use information to:
- manage membership, registrations, events and attendee access;
- provide the App’s agenda, event content, attendee and speaker directories, and related event services;
- administer and secure accounts, investigate suspected misuse and provide support;
- communicate service information and, where permitted, relevant event and Network Forum marketing;
- improve our events, website and App; and
- meet legal, regulatory, accounting and reporting obligations.
You may opt out of marketing at any time by using the unsubscribe link in a marketing email or contacting us at info@thenetworkforum.net. Service and event-administration messages may still be sent where necessary.
4. The App
Event directories and content
Where your event access permits it, the App may display professional attendee and speaker information, such as names, roles, companies and profile photographs. This information is made available to support networking and event participation. We expect event participants and organisations supplying this information to have an appropriate basis for doing so. Please use this information only for legitimate professional event purposes and in accordance with applicable law and event terms.
Local storage and security
The App stores an encrypted copy of selected event content and authentication information on your device to support performance and offline use. The encryption key is stored using the device’s secure storage. The App clears this cached content when you sign out. Android backup is disabled for the App.
Biometric unlock
If your device supports it, the App may offer Face ID, Touch ID or Android biometric authentication to unlock saved App content. This check is performed by your device’s operating system. We do not collect, receive, store or have access to your fingerprint, face template or other biometric data.
Permissions and tracking
The App requires an internet connection and may request permission to use device biometrics for the optional unlock feature. It does not request access to your precise location, contacts, camera, microphone, photos or notifications. It does not contain advertising SDKs and does not track you across other companies’ apps or websites for advertising purposes.
External links and services
The App may open external websites or applications for event services, documents, videos, maps or engagement tools, including Slido where enabled for an event. When you choose to open an external link, that provider’s privacy policy and terms apply to its processing of your information. We are not responsible for third-party websites or services.
5. Who we share information with
We may share personal data where necessary with:
- event delegates, sponsors and partners where this is part of the event service or you/your organisation have made the information available for that purpose;
- our group companies, professional advisers and trusted suppliers who provide hosting, IT, payment, email, event-management and support services, acting under appropriate contractual safeguards;
- service providers such as IONOS, GoDaddy and Stripe where we use their relevant services; and
- regulators, law-enforcement bodies or other parties where required by law or necessary to protect our rights, users or services.
We do not sell personal data.
6. Cookies
Our website uses cookies and similar technologies that are necessary for its operation, including remembering information supplied during an event-registration journey. Your browser settings allow you to refuse or delete cookies. If you do so, some website features may not work as intended. Where we introduce non-essential cookies, we will provide the information and choices required by applicable law.
7. International transfers
Our suppliers or their systems may process information outside the United Kingdom or European Economic Area. Where this occurs, we will use a lawful transfer mechanism and appropriate safeguards designed to protect your information, such as an adequacy decision or approved contractual clauses.
8. Retention
We keep personal data only for as long as necessary for the purposes described in this policy, including to manage the relevant relationship or event, resolve disputes, enforce agreements, and meet legal, accounting or reporting requirements. The appropriate period depends on the nature and sensitivity of the data, the purpose for processing it and applicable legal requirements.
9. Your rights and account deletion requests
Subject to applicable law, you may have the right to request access to, correction of, deletion of, restriction of or objection to the processing of your personal data, and to request portability of certain data. You may also withdraw consent where we rely on consent.
The App does not allow you to create an account. If you have been given App access through your employer, an event organiser or The Network Forum, and want your App account or associated personal data deleted, email info@thenetworkforum.net with the subject line “Data deletion request”. We may ask for information to verify your identity and will explain if we need to retain particular information for legal or other legitimate reasons.
If you are in the UK or EEA and are unhappy with how we handle your information, you may also complain to the relevant data-protection authority, including the UK Information Commissioner’s Office.
10. Security
We use appropriate technical and organisational measures designed to protect personal data against accidental or unlawful loss, access, use, alteration or disclosure. No internet transmission or storage system is completely secure, but we restrict access to authorised people and suppliers with a business need to know.
11. Children
Our website, events and App are not directed at children. We do not knowingly collect personal data from children.
12. Changes to this policy
We may update this policy from time to time. We will publish the current version on our website and update the “Last updated” date above. Please review it periodically.
